3. DIVISION OF EXAMINATION

This division has responsibility of coordinating and managing the entire examination issues of the Institute. Along with that overall responsibility, the division performs the following duties to ensure that the examinations are carried out effectively and efficiently:

  1. Prepare and manage examination formats and systems according to the curriculum approved by the Institute.
  2. Coordinating and managing the composition, moderation, printing examinations and publishing of examination results.
  3. Enhancing the security and confidentiality of the Institute examinations
  4. Prepare and provide training on the composition, invigilation and marking examinations
  5. Designing and recommending the best methods of composition, invigilation and marking of examinations.
  6. Preparing reports and evaluation of the institute results according to the examinations conducted.
  7. Prepare quarterly reports on the implementation of the division and submit them to the academic director
  8. Enter student results in the NACTVET system and send hard copies for verification.
  9. To perform other tasks corresponding to the duties as assigned by superior

5. DIVISION OF LIBRARY SERVICES

The IPA Library is a hub for academic excellence and research.
Our library collection and facilities are designed to cater to the diverse needs of our students and faculty.
Our library is operated by trained and qualified librarians, who perform technical and user services. The library mainly maintains Arts and Social Sciences, Business Management, Research Reports, Periodicals, Reference and Special Reserved collection.

At the Administration Department of the Institute of Public Administration Zanzibar, we strive for excellence in every aspect of our work. Through our dedication and collaborative efforts, we contribute to the institute's mission of engaging in excellent teaching, improving efficiency and effectiveness of public administration of Zanzibar by providing comprehensive and competency based – training and applied research intervention.

Department of Academic is one among the five departments available in the Institute of Public Administration. It is concerned with all academic matters of the Institute, including: - admission and registration of students, developing and reviewing curriculums, preparing and managing examinations, and publishing of examination results, and coordinating library services among others. The department has four Divisions, namely:

  1. Division of Admission and Registration
  2. Division of Curriculums
  3. Division of Examinations and
  4. Division of Library Services

1. DIVISION OF ADMISSION AND REGISTRATION

The division established with the primary purpose of coordinating all issues concerning students’ admission and registrations at the Institute of Public Administration. Also the division ensures all students data are succefully updated and submitted to the respective Educational authorities (NACTVET and TCU) in every academic year for verification. Other duties include:

  1. Admitting and registering reported students
  2. Preparing and issuing student’s identity cards
  3. Preparing and printing student’s Transcripts and Certificates
  4. Updating student’s online information
  5. Addressing different students’ challenges concerning admission and registration issues.

2. DIVISION OF CURRICULUM

This division has the overall of developing, reviewing and overseeing implementation of all curricula of the Institute. More specifically, the Division is concerned with the following:

  1. Preparing and reviewing curricula according to stakeholder needs, and market needs.
  2. To monitor the teaching progress of instructors and student attendance
  3. Supervise the submission of student grades from instructors
  4. Assessing student progress based on the curriculum being taught
  5. Advise the availability of reference books (Reference books), and other materials
  6. Designing various methods and giving advice on the best teaching methods
  7. Prepare an implementation report every three months and submit to the head of the department.
